There are also rooms back there with doors that close.  They aren't completely enclosed, but that will dampen the noise a little.

Usually the rooms on the second floor are unused as well.  If the event is too loud you're welcome to explore up there for a space to play.  The same rules apply in terms of not disturbing anyone there.  If you see people there, don't set up shop.

I would like to add that it's important that those of us who see this email alert those who haven't, including new people.  If we make a nuisance of ourselves at all we run the risk of no longer being able to meet at Yahoo!.  Since Yahoo! gains nothing from us meeting here, that risk is pretty high.

When BayJAX events are going on, if folks can try to be quieter, then allowing gaming to go on at Yahoo won't be in jeopardy.
 
The schedule for recorded speakers is from 6:30-8:00pm.
Outside of these times, noise is less of an issue.
 
My suggestion is that folks keep it down during that time.  If folks are playing a game that requires a lot of talking that would easily get loud, such as Werewolf or Battlestar Galactica, that they take it to the tables upstairs that day.
 
Talking to a coordinator of this event, the event will be scheduled about once a month going forward.
I imagine that it will be fairly obvious that they are here that day.

The next scheduled BayJax event is March 5th.

Since I am unable to attend lately due to watching the kids, I would like to request a couple of volunteers to write back to this email saying that they will let folks know about this in person on March 5th since not everyone will read this.

A suggestion to generally be quiet during a certain set of hours does not seem likely to work and is going to
get Facilities on our tail. If there are specific scheduled days where these events are in effect, it seems
best to have the group meet in a less problematic area those days. A quick note to the group the week before
should be sufficient heads up to have people meet on the second floor.

I think it will be quite obvious that the event is going on.  There will be a bunch of people and a speaker with a microphone, and video and recording equipment being monitored.  It is called BayJAX.  I asked if there is a regular schedule like first Monday of the month, etc., and the facilities person could not tell me.  Sorry, I tried.

As has been suggested a few times, just move to the second floor on that day.  Let folks know ahead of time that, in general, if you see no one around, go to the 2nd floor.

I certainly don't know when BayJAX events occur, and its n ot my job to send "a quick note to the group" about it.

I suggest two things:

1) On days with events we either move upstairs, or we move far to the back of the room away from the event.  On the
subject day we all sat in the middle, right next to/against the event people.

2) On event days, stick a note on the door pointing game players to the proper location for that day (and
reminding them to be quiet/considerate etc).

I think this is an excellent suggestion.

Seeing the stage set up, people setting up equipment, or equipment 
already set up, should serve as the signal for the first people there to 
post a note on the door and move any gamers back.  Everyone should take 
responsibility for spreading the word to new arrivals and making sure 
that no gamers set up close to the event.

This will only work if the group as a whole takes ownership of the issue 
and does what it takes to prevent any problems.

Great suggestions JC & Dave.

I think this plan will work brilliantly, but, since not everyone reads the emails, until everyone knows about this plan and change in how the group works, it would be good if a couple of folks on the list volunteered to get the word around to everyone next Monday, and a month or so later when the next BayJAX event occurs.  My concern being that the event starts at 6:30, but as I understand, gaming for some can start at 5pm.

From talking to the facilities person at Yahoo, for the time being, this will be a regular event.& nbsp;
Please just send an email to the list "I plan to be there next Monday and I can let people know/post the note/etc".  

Also, please take this seriously.  Facilities made the effort to find contact Yahoos for the group, such as myself.  They noticed us.  We don't want another complaint.

I meant to communicate with the group, but alas, I failed.

As it turned out there was a meeting of BayJAX last Monday and it went 
really well.

The folks running BayJAX put up signs on the doors which said, 
alternately, "GAMERS USE OTHER DOOR" and "GAMERS USE THIS DOOR".  We 
wound up just having everyone meet upstairs.  I talked to the folks 
running the event and told them if they saw any gamers setting up shop 
to send them upstairs.  We didn't have any problems.

So I'm going to propose that in the future the BayJAX people put signs 
on the doors saying "GAMERS MEET UPSTAIRS TONIGHT" or somesuch.  I'm 
also going to suggest that those running the event should feel free to 
alert gamers that we're meeting upstairs.  It might also be nice if 
every once in a while someone from our group took a quick walk 
downstairs to make sure nobody has started a game down there.

This may be a silly suggestion, seeing as I’ve never seen the upstairs area, but why not have the group always meet upstairs?

I meant to communicate with the group, but alas, I failed.

As it turned out there was a meeting of BayJAX last Monday and it went
really well.

The folks running BayJAX put up signs on the doors which said,
alternately, "GAMERS USE OTHER DOOR" and "GAMERS USE THIS DOOR". We
wound up just having everyone meet upstairs. I talked to the folks
running the event and told them if they saw any gamers setting up shop
to send them upstairs. We didn't have any problems.

So I'm going to propose that in the future the BayJAX people put signs
on the doors saying "GAMERS MEET UPSTAIRS TONIGHT" or somesuch. I'm
also going to suggest that those running the event should feel free to
alert gamers that we're meeting upstairs. It might also be nice if
every once in a while someone from our group took a quick walk
downstairs to make sure nobody has started a game down there.

You are right.  It's a silly suggestion.
  :)

1.  Without the BayJAX people being there, the doors aren't open for people to come in without a gamer walking over and opening them (who would then be upstairs)
2.  There's less table space upstairs, and sometimes the conference room doors are locked.
3.  Visibility.  Since it is good to have Yahoo employees as part of the group, having people play in the cafeteria increases the chance that Yahoo employees interested in games see the event and join, as I and others did.

I think that's enough reasons.  There might be more.

I think this plan will work brilliantly, but, since not everyone reads the emails, until everyone knows about this plan and change in how the group works, it would be good if a couple of folks on the list volunteered to get the word around to everyone next Monday, and a mont h or so later when the next BayJAX event occurs.  My concern being that the event starts at 6:30, but as I understand, gaming for some can start at 5pm.

From talking to the facilities person at Yahoo, for the time being, this will be a regular event. 
Please just send an email to the list "I plan to be there next Monday and I can let people know/post the note/etc".
